Quarterly Reviews Are Easy with KPIs
Quarterly reviews are necessary in every business, but very few managers or owners actually enjoy them. It takes a lot of time – time you may not always have – to go back through each team member’s history, evaluate their strengths and propose ways to help them develop their weaknesses.
KPIs are an amazing tool to equip you and your management staff to efficiently and effectively produce quarterly reviews!
It is important to remember that reviews have a few different purposes.
- They give you a chance to evaluate your team (obviously)
- Reviews allow you to guide your team members, equipping them to grow
- They help you make sure your team members are operating within their zone of genius
- They equip get in front of issues before they become fires to put out

Leverage Positional KPIs for Clear Team Performance Insights
Part of the purpose of a quarterly review is to help you gain a better understanding of where a team member is struggling and where their strengths are. Positional KPIs give you a concrete tool to help you easily track this!
Of course, part of your review will be based on observation, but closely observing every member of your team as you grow is a tall order. Observation will give you a good idea of the person’s attitude and how they fit into your company’s culture, but what about their daily tasks? Do they fully understand your expectations, and are they effectively meeting those goals?
This is where KPIs can really help. By tracking concrete weekly, monthly, and quarterly goals, it is easy to see where a team member’s strengths lie and where they could use additional training or mentorship.
Doing so will help your team stay productive and fulfilled in their roles!
Zone of Genius
Ideally, you want each team member to be working within their zone of genius. This means that they are doing both what they excel at and what they enjoy.
Granted, most team members won’t enjoy every single task, but the closer each individual can get to their zone of genius, the more productive (and profitable) they will be.
It is best to review and refine your business plan on a quarterly basis, and part of this includes determining which systems to build or refine. Your KPIs and quarterly reviews will offer valuable insight to help you locate any systems breakdowns and determine a plan to refine them.
Your KPIs will also help you find ways to pair one team member with another to shore up each other’s weak points. This can help build teamwork and save you a lot of time and money!
Finding Potential Problem Areas
Do you ever feel, as a business owner, that too much of your time is spent putting out fires?
What if you could find and handle those issues before they become fires?
Your KPIs can help you do that – and quarterly reviews are the perfect time to address them.
When certain KPIs are lower than you would like (but still within an acceptable range), it can a sign that a system is starting to fail.
As your business grows, your systems will evolve. This is natural – what worked when you were at $300,000 per year won’t necessarily work when you’re at $1.3 million. By that time, your team has grown, your clients’ needs have expanded, and there are more ‘moving parts’ to consider.
By consistently using and evaluating KPIs – and by using them as the basis of your quarterly reviews – you can get in front of any issues and handle them before they become true problems. This not only saves you money and keeps your clients happy, it also helps to improve team culture!
