Adjusting Your Workflows for Profitability
You’re hiring a great team, putting your systems in place, and adjusting your business plan for growth. But…little glitches still keep popping up that keep everything from running smoothly. Things that should work like clockwork don’t. And when you look at your numbers, the profitability just isn’t there.
This is a sign that your workflows may need some attention. Workflows serve as a bridge between your team, your systems, and your profitability – and when they’re out of place, your growth strategy (and your stress levels) will take a hit.
This doesn’t have to be your reality, though. By becoming intentional about your workflows, you can resolve many of these issues, solve future issues, and give your team the structure they need to be productive, profitable, and satisfied in their roles.

Analyze Your Workflows
The first step to adjusting your workflows is to analyze them. This step might seem tedious, but with the right framework, the process can be fairly simple to work with.
In order to analyze your workflows, you first need to know what you’re working with.
- What are your team’s normal processes?
- Which team members are involved?
- At which point in the process does each team member have responsibilities?
These are a few of the questions to consider when mapping your workflows – and this information will help you analyze and streamline your processes. It also allows you to
This is the first step toward becoming more profitable!
Balancing Your Workloads
Have you noticed any team members commenting about being over- or underworked? Are you noticing bottlenecks that you’ve been meaning to investigate, but just haven’t had the time?
Often, these issues are related to workloads being unbalanced. This happens for a number of reasons, but it always results in a loss of productivity. If this isn’t resolved, it can also lead to team members being unsatisfied with their job – and that can result in losing your best team members.
Once you map out your workflows effectively, you will be able to see whether any of your team members are, in fact, overworked – or if they’re just having to work with inefficient processes.
This step will not only help you ensure that your team is able to work productively, it will also allow you to plan for future hires. When you can forecast when and where you will need additional team members, you can also budget for them and make sure you have the right systems in place!
Creating Profitable Pods
Some of my most successful clients are finding that organizing their team into profitable work pods is helping with both profitability and growth – and therefore, client satisfaction and their bottom line.
Intrigued? It’s worth considering!
Essentially, a pod is a group of employees that work together on a consistent basis. For a law office, this might be an attorney, two paralegals, and a legal secretary or assistant that focus on one specialty. For a real estate or insurance office, it might be a sales producer, one or two account managers, and an assistant.
When you are able to put together specialized pods that work well together, their productivity can skyrocket. They know each other well, are able to hand off tasks with ease, and can move smoothly through their workflows.
Because of this, they are also able to care for your clients with excellence – and they are far more likely to enjoy their work. This results in a strong team culture, great reviews, and (you guessed it!) sustainable growth.
Putting the right pods together may seem like a game of trial and error, but when you use the right framework to map out your workflows, it is a lot easier to see which team members to place together.
