Building Team Confidence: The Power of Effective Systems
Building a small business team is one thing; building a confident team that can run your company whether you’re there or not is another. There is, of course, more that goes into building your culture, but the number one thing that will provide confidence throughout your team is strong, effective systems.
Think about starting a new job: you’re excited for new opportunities, but you kind of feel like you’re walking on eggshells because there’s so much you just don’t know. This is to be expected for the first week or two, though. Surely they’ll teach you the ropes, right?
Now, imagine walking on those same eggshells 3, 6, or 12 months into your job. You’re still not quite sure what’s expected of you, the boss is constantly frustrated, and no matter how hard you try, something is probably going to go wrong…you just never know what it might be.
Nobody could do their job confidently under those circumstances. This is why systems make such a huge difference.
Building Confidence through Effective Systems
Effective systems do so much.
They give you the confidence to hand things over to your team, knowing that they understand both your expectations and the methods you want them to use. (They also get the reason why you want things done this way, which can head off a lot of misunderstandings before they begin.)
They do more than that. They offer your team structure, clarity, and predictability. They reduce uncertainty and empower your team members, fostering a sense of security and confidence.
It might seem like something so foundational couldn’t be so powerful, but when your team members have this common understanding, they’re far more likely to contribute positively to your team’s success.
And as an extra bonus, they’re far more likely to stay.
Nobody wants to put their time and effort into something they don’t understand – or something they’re convinced won’t work. Effective, well-implemented systems lead to enhanced productivity, increased job satisfaction, and a positive work environment. By providing the necessary tools and support, your systems will play a vital role in equipping your team to excel in their roles and contribute to the overall success of the team.
This means that not only will you be able to scale your business, you’ll also be able to retain the team members that can make it happen. It’s a win-win for everyone.
Implementing Systems In Your Business
One of the best ways to build your systems is to include your team members in the process. After all, they’re the ones who will actually be using the systems, and they’re more likely to understand the steps you might not be aware of as well as how those steps affect other tasks.
This can be done in a number of ways. One of the easiest might be a department or individual meeting. When a team member brings up a process that’s not working well, pull up a Word doc and ask for potential solutions. If a script is needed, brainstorm with them to create one. If a tracker is needed, ask what information is currently missing and delegate it to your resident Excel guru.
When your team comes to you with an issue, enlist their help to fix it. They’re probably more aware of what’s falling short and likely already know what needs to be done!
Implementing Systems in Your Team
Now that your systems are being built, how do you actually implement them? (After all, they aren’t going to do you much good if they’re not being used!)
You’ve already completed the first step of implementation: involving your team in the process. When they have a say in the system they’ll need to use, they’re more likely to implement it.
The next step involves some friendly follow up. “How is that change we worked on going – are you seeing any improvements?”
This allows them to either share a win or let you know where things still might be falling short, but without the guilt. If a deeper issue was uncovered by fixing a surface problem, they can let you know – and if sheer force of habit is making the change difficult to implement, they can come to you for advice.
When you frame your systems as a way to help your employees do their job with less stress and more satisfaction, you’ll find that implementation becomes a lot easier!
