Building Systems Without the Overwhelm
I talk with a lot of business owners who know they need to build out their systems but feel like they’re just stuck. This can be for a few different reasons, but the end result is the same – their growth stagnates and they remain trapped.
Some business owners that I talk with experienced growth during 2020; as much as the pandemic damaged many businesses, there were some niches that experienced growth through careful planning and listening to their client’s changing needs. While this can be a good problem to have, without the right systems in place, that much growth can cause a business to implode.
Simply put, without the right systems in place to sustain that growth, the business won’t continue to grow. This puts a lot of stress and unnecessary work on the owner, which often leads to overwhelm.
Many either started new businesses or found ways to shift their growth plan over the past year and a half. Almost 4 ½ million new businesses began in 2020 – a 25% increase over previous years!
Today, many owners are still trying to figure out how to navigate a swiftly changing landscape, which can pull their focus in many different directions and add to the overwhelm.
Whether you recently started a business, experienced rapid growth, or spent the past year or two simply trying to keep your head above water, one thing remains the same: in order to grow a sustainable, profitable business, you need solid systems in place – and perhaps even more important, you need a way to build them that does not add to your overwhelm.
Here are some of my top strategies for building the systems your business needs without the overwhelm.
Don’t Reinvent the Wheel
Often, the thing that holds many business owners back from building their systems is that it’s a huge job – and in the middle of everything else, they simply don’t have time to start from scratch.
I get it! I’ve been there, and the last thing I want to do is divert that much time, energy, and payroll to building something from the ground up (especially if I’m not certain it will work).
The solution: take a proven framework and tweak it gently to fit your needs.
This not only saves you precious hours and payroll, it also has the benefit of time-tested experience. If you could put systems in place that you know will work – and save time and money in the process – why wouldn’t you take advantage of it?

Done is Better than Perfect
Something that I hear from my clients is that if they’re going to put the time into building their systems, they want them to be perfect.
While I completely understand this, my answer will always be: done is better than perfect.
Believe me, I would love to have perfect systems implemented from the start – systems that work every time, that grow with my business, and that are usable by every team member, regardless of their learning or working style.
Unfortunately, that’s not the way it works.
Your business is unique, and as such, what works well for someone else may not work well for you. You will likely find that you need to tweak the details – and that’s a good thing!
Refine your systems as you grow. But build the foundation to begin with! Even if your systems aren’t perfect at first, simply having them in place will give you the freedom you need to grow and reclaim some of your precious time.
Delegate to Your Team!
You put a lot of time into building out a team that shares your values, understands your business, and wants to see you succeed. In a lot of way, their success is tied to yours! They have a lot invested in helping you drive your business forward.
Over the years, I’ve watched a lot of business owners spend hours building out systems that they think will work well, only to present those systems to their team…and hear crickets in response.
Whomp whomp.
Instead, get your team involved in the systems build! After all, they are the ones that will be using these systems day in and day out, so they have a vested interest in helping to create systems that work.
By delegating the process to your team, not only will you get them on board from the start (after all, they’re more likely to use what they help build!), but you will also save yourself a ton of time!
